Watch ten conference recap videos and eight of them have the same flaw: the keynote sounds like it was recorded from the back of the room, because it was. The speaker's microphone went to the house speakers, the video crew's camera microphone recorded the house speakers bouncing off a ballroom, and the film inherited the echo. The fix is not a better camera. It is a phone call to the AV vendor before the event.
Every hotel ballroom has a board
Whether the event is at Loews, the Sheraton at Crown Center or the Marriott Downtown, the stage microphones run into a mixing board operated by the hotel's in-house AV team or a production company the organizer hired. That board has outputs. A video crew that asks for a line-level feed gets the speaker's voice exactly as the microphone heard it, with no room, no echo and no coughing from row twelve.
Ask for it in advance, not on the day
AV teams are happy to give a feed when they know it is coming. They are less happy when a crew shows up during load-in asking for an XLR run to a camera position they have never discussed. We call the vendor the week before, agree on a position, and confirm the connector. It takes ten minutes and it is the most important ten minutes of the production.
What to put on the brief
The AV vendor's name and contact. Whether the keynote is on a podium mic, a lav or a handheld. Whether there is a confidence monitor, because a camera position that blocks it will get moved during the keynote. If the event has a production company running the show, their stage manager is the person to introduce us to.
The backup
We still record on camera and on a wireless lav where the speaker allows it. If the board feed drops, and boards do drop, the film still has usable audio. A crew that only takes one source is one unplugged cable from a silent keynote.
